Reporting

The Reporting tab provides spaces to enter email addresses to be sent to under various conditions that occur, or on a selected frequency basis.

All the email addresses entered here will be sent a summary of the information available from the Logging section of the Control Panel on a selected frequency basis.

Once you have made changes to this page, click the Save Settings button at the bottom. Leaving the page or refreshing it without click this button will discard changes made.

Log Digests

A periodic report on page views and operating results will be sent to each of the email addresses you list. Select a Report period from the drop-down list to set the frequency to daily, weekly, or monthly. Click the- button to delete the entry, or OK to save it. Once saved, buttons labelled Send and Edit appear. Send will generate a report immediately. Edit allows you to change the email address and report frequency.

Box Office Errors

If a Web Patron encounters an error that the system believes is able to be remedied by the Box Office, for example a seat not priced, then as soon as that error is encountered an email is sent to the email addresses entered in here.

Sale Receipts

A copy of the confirmation email that gets sent to a web patron on a successful purchase will also be sent as a Blind Carbon Copy (BCC) email to these email addresses. Click the - button next to an email address to delete an entry.

The View Sample Receipt button will open a window that shows what an emailed sale receipt will look like.

The Send Sample Receipt button will bring up a form asking for an email address. A sample conformation email will be sent to this address.

The Sample Print At Home PDF button will open a window that shows what a Print At Home ticket sheet will look like.

Donation Receipts

Details of donations made through either the Donate page or any of the cart options are sent to these email addresses. There are options that the Donation is included in the receipt for any other purchase, or for it to be separated should the donation value meet a specified threshold.

The View Sample Receipt button will open a window that shows what an emailed donation receipt will look like.

The Send Sample Receipt button will bring up a form asking for an email address. A sample donation receipt email will be sent to this address.

Voucher Receipts

A copy of the voucher receipt email that gets sent to a web patron on a successful voucher purchase will also be sent as a Blind Carbon Copy (BCC) email to these email addresses. Click the - button next to an email address to delete an entry.

Membership Receipts

A copy of the receipt for a membership sale or renewal that gets sent to a web patron will also be sent as a Blind Carbon Copy (BCC) email to these email addresses. Click the - button next to an email address to delete an entry.

Season Receipts

A copy of the receipt for a season sale that gets sent to a web patron will also be sent as a Blind Carbon Copy (BCC) email to these email addresses. Click the - button next to an email address to delete an entry.

Low/Sold out Performance Alerts

A notification will be emailed to all the addresses listed when any performance reaches a preset threshold. Click the - button next to an email address to delete an entry.

The threshold can be set to either a specific number of seats remaining to be sold, or a percentage of seats in the venue remaining to be sold.

Advertising Budget Exceeded Alerts

A notification will be emailed to all the addresses listed when any advert exceeds its budget. Click the - button next to an email address to delete an entry.

Patron Address Changes

A notification will be emailed to all the addresses listed when an address change is made to a patron’s record, unless the entry specifies that the notification will be limited to members of a particular group or groups.

The checkbox Notify of patron address changes can be used to turn the feature on and off without deleting any of the entries.

Provide an email address for the notifications to be sent to, and choose from the options Don’t filter patrons or Restrict patrons to members of... and then select options from the list of groups that appears.

. Click the- button to delete the entry, or OK to save it. Once saved, a buttons labelled Edit appears. Edit allows you to change the email address and filter.

Management Reports

A periodic report on tickets booked and/or sold will be sent to each of the email addresses you list.

You may choose to restrict the report by selecting a filter. You can restrict the report to selected productions, promoters, or venues. Only one restricting filter can be set, the other options are inaccessible once you make a selection. When you select a Restrict... filter option, a list of available productions, promoters, or venues will be displayed. Tick all those you wish to be included in the report.

Select a FREQUENCY for the report from the options listed: Hourly, Twice Daily, Daily, Weekly; or Monthly. There is also a Disabled option to stop the report being sent, while not actually deleting the entry.

Select a REPORT from the drop-down list. The options are: Tickets booked, sold; Tickets by price category; Tickets by seat type; and Seats by date.

Select a SALES FILTER; the options are: Booked, Sold, and Both.

Select a SORT ORDER; the options are Title and Start Date.

Click the- button to delete the entry, or OK to save it. Once saved, buttons labelled Send and Edit appear. Send will generate a report immediately. Edit allows you to change the email address and report frequency.
